Waterside Tours have a great deal of experience in providing coaches for private hire to cover weddings, theatre visits, parties, corporate events and many other situations. If you have a special event you want covered we are the people to speak to. Your event is our cause.

WATERSIDE TOURS PRIVATE HIRE TERMS AND CONDITIONS
These terms apply whether a contract is made verbally or in writing. The hirer contracts the company on behalf of themselves and their passengers travelling on board the vehicle. The hirer understands that he is in a position of authority for his passengers and contacts with the company on behalf of them. The hirer indemnifies the company against any loss, claim, damage, award or settlement which may be made against the company in the event of the following conditions not being adhered to.
- Quotations are given based on the most direct route and according the information provided by the hirer.
- Quotations are valid for 2 months after the price is given unless specifically stated
- Unless otherwise stated admission and parking charges are not included in the costings
USE OF VEHICLE
The vehicle should not be assumed to remain with the hirer between the drop off time and return journey and is not for the use of the hirer if parked there, unless agreed stated by the company prior to departure.
ROUTE AND TIME VARIATION
- If the vehicle is detained by the hirer or taken on a longer journey than that quoted for the company reserves the right to request an additional sum
- The vehicle will depart at the times agreed and the company. In the event that these times are not adhered to the company reserves the right to add an additional sum
WORKING TIME DIRCTIVE RELATING TO DRIVERS HOURS
The times agreed must be strictly adhered to so that the working time directive relating so drivers hours and rest periods is complied with. The hirer or passengers must not prevent the vehicle from leaving at the agreed times, or interrupt a journey so as to put the driver in a position to breach the regulations. In the event of this happening the company reserves the right to add an additional cost to provide for a replacement driver.
The hirer must not overload the vehicle beyond the number of passengers it is legally allowed to carry. Luggage must be stowed in the relevant areas of the vehicle unless otherwise agreed.
CONVEYANCE OF ANIMALS
No animals are permitted to travel onboard any of our vehicles.
Written confirmation will only be received once the hirer verbally accepts the vehicle, or for amendments made to hires.
PAYMENT (NON ACCOUNT CUSTOMERS)
The company will request a £50.00 deposit from the client which should be received within 7 days of the hire being accepted. The full balance of the hire will be required 7 days before departure unless otherwise specified by the company. The company reserves the right to cancel any bookings and retain the deposit if these conditions are not adhered to.
PAYMENT TERMS (ACCOUNT CUSTOMERS)
All account customers are requested to send a facsimile or send by post a written confirmation of hire, signed by the person with purchasing authority. Payment must be made within 7 days of the invoice being sent unless prior agreement has been made with the company. The company reserves the right to charge interest on any sums not received within this period.
If an account is not settled within the period specified the company reserves the right to charge additional interest per month the sum remains outstanding.
CANCELLATION BY THE HIRER
Should the hirer wish to cancel an agreement, the following scale of cancellation charges apply:
|14 days or more prior to hire||20 % of hire cancellation charge|
|6-9 days prior to hire||50 % of hire cancellation charge|
|3-5 days prior to hire||60 % of hire cancellation charge|
|1-2 days prior to hire||80 % of hire cancellation charge|
|Any time on day of hire||100 % cancellation charge|
- The cost of any accommodation, meals or tickets purchased by the company on request from the hirer will be charged to the hirer plus any administration charges occurred.
- Cancellation due to inclement weather conditions will be charged as above
- Tickets purchased by the company are non refundable and must be paid in full
CANCELLATION BY THE COMPANY
In the event of any emergency, riot, civic commotion, strike, lockout, stoppage or restraint on labour that the company has no control over (including averse road or weather conditions) or in the event that the hirer tries to vary the agreement made with the company unilaterally the company may by returning all monies paid and without further liability cancel the contract.
VEHICLES TO BE PROVIDED1) The company reserves the right to provide a larger vehicle than the one specified at no additional charge, unless the extra seats are used, then an additional charge maybe requested. The company reserves the right to provide more than the number of vehicles requested at no additional cost unless the extra seats are used. 2) The company reserves the right to substitute other vehicles, including those from other operators subject to them being of the same or better quality 3) Equipment within the vehicles (including radio, public address, coffee machine, toilets) are provided at the discretion of the company unless the quotation specifies that such equipment is required for the hire. Whilst the company endeavours to supply a coach with requested features it may not always be possible.
BREAKDOWN AND DELAYS
The company will supply an estimated time of arrival on request but this is subject to any traffic delays and will not be liable for loss or inconvenience due to arriving late.
Where the company hires in subsequent vehicles from other operators at the request of the hirer and organises additional facilities such as ferries, hotels, tickets, supplied by a third party it does so as an agent for the hirer. Any terms and conditions imposed on the company will be binding to the hirer as if they had directly contacted such services.
Luggage and other personal effects are left on the vehicle at the passengers risk and the company will not be liable in any form for loss or damage, including negligence. If any court rules that the company was liable for the loss of such luggage including negligence the company shall only be liable for the sum of £50 per bag or case whichever the lesser. The company does not accept any liability for any luggage left on any vehicle held at the company’s depot at which the vehicle is based and will be subject to the current Public Service Vehicle (lost property) Regulations.
CONDUCT OF PASSENGERS
The driver is responsible for the safety of the vehicle. Any passenger whose conduct is in breach of statutory regulations will be removed from the vehicle or prevented from boarding at the driver’s authority. The hirer is responsible for any passengers and will be liable for any damage caused to the vehicle during the hire. No Alcohol is to be consumed while onboard any of our vehicles as it is prohibited under statutory regulation.
Any complaints from the hirer about the company should be made in writing.
No bill, poster or other notice is to be displayed in the window of a company vehicle without permission before hire.
REFRESHMENTS AND ALCOHOLIC DRINKS
Other than a vehicle fitted for the specific purpose of food and drink, any subsequent food or drink including alcoholic beverages are not permitted to be consumed on the vehicle without prior consent from the company. Hot Food is prohibited at all times.
The quotation provided is based on the operating cost on the date provided by the hirer. The quotation is valid for a 2 month period, after this time an additional cost may be added due to subsequent price rises or charges.
It is the responsibility of the hirer to provide the correct dates and times of Arrival and departure, subsequent changes to dates or times are possible provided the company has availability on that date and as long as sufficient notice has been given with allowance for scheduling of drivers and vehicles. Prior to booking flight numbers must be gained and provided to the company. If the flight is delayed, and subsequently the hire is delayed the company reserves the right to add additional costs for the extra time the vehicle is required. Please note that all charges for delays will be invoiced separately. The company reserves the right to charge for any additional parking costs while waiting for collection at the airport. The vehicle will only be sent for collection from the car park once authorised by the parking attendant, therefore on collection the driver is not permitted to leave the vehicle for any missing passengers, this is the responsibility of the hirer. Should you have any problem finding the vehicle please contact the information desk or coach steward who will be able to contact the coach park to confirm his location.
WEDDING RECEPTION TRANSFERS
The hirer enters into an agreement with the company and all departure times should be adhered to. Should the vehicle not depart at the agreed time, the company reserves the right to add an additional charge to be invoiced separately.
The quotation provided is based on the agreed departure time. Any delays to the departure time agreed will incur a charge of £25.00 per hour or pro rata for part hours. The hirer takes responsibility for any charges incurred for late departure.
The quotation provided is based on agreed drop off points. Additional drop off points can be arranged but these must be informed to the office and may incur extra charges. Additional drops not provided for in the quotation will be charged to the hirer.
The company reserves the right to make a charge for cleaning costs incurred for the removal of chewing gum or sweets, spillage of dinks or vomit on the seats, curtains or flooring. The minimum charge in this event is £50.00.
The hirer will be held responsible for reimbursement for any damage occasioned to the vehicle or to any of its fixings or accessories. All invoices for damages will be made to the hirer after travel. Please note that any cases of criminal damage will be informed to the police.
CAR PARKING & ENTRANCE FEES
All prices quoted for exclude parking charges and entrance fees unless specifically stated in the cost and on the subsequent invoice or if requested by the hirer. These fees are required before the tickets are paid for by the company.
Supervisors must be allocated to supervise the children whilst travelling, it is their responsibility to ensure the coach is monitored by allocating seats at the front middle and rear of the coach for all journeys. Any Damage, Rubbish or extra cleaning duties that are required will incur charges at the directors discretion.
PLEASE NOTE THAT THERE IS A NON-SMOKING POLICY ON ALL HYTHE & WATERSIDE COACHES LTD VEHICLES, IMPLEMENTED WITH PASSENGER COMFORT AND SAFETY AN UPPERMOST PRIORITY.
